EXECUTIVE/ PERSONAL ASSISTANT JOB POSTING

Vancouver, BC – Hybrid with a minimum of three days onsite in the Vancouver office.
Salary: $62,000-$80,000

Job Summary

As Executive Assistant you will represent Weathervane Investments in providing confidential administrative and secretarial support to the Management group as well as some PA duties.

Primary Responsibilities

  • Exercise considerable judgment, tact and discretion when handling information of confidential and sensitive nature. Maintains strict confidentiality of highly sensitive, personal, financial and employee information.
  • Coordinate the flow of information by ensuring accurate and timely delivery of administrative services and keep the management team apprised of issues and activities.
  • Prepare for and attend assigned meetings, track & follow-up on action items, and escalate any issues to the management team.
  • Proactively manage complex calendars with attention to accuracy, detail and allocation of time to promote productivity and recognize the need to re-prioritize as appropriate for executive and family business detail.
  • Meet tight deadlines, prioritize multiple critical requests. Anticipate needs of the management team.
  • Prepare and distribute agendas and materials for meetings and planning sessions. Take minutes/notes and follow-up on action items.
  • Monitor incoming calls, requests and correspondence; courteously dealing with all by handling, delegating or responding appropriately.
  • Coordinate all travel arrangements, including private and commercial flights, ground transportation, and detailed itineraries.
  • Employ expertise in the use of software to create a variety of documents and presentations.
  • Bill management and expenses: oversee bill payments, expense reports.
  • Maintain general office functions, including office supply inventory and ordering, office maintenance requirements, and act as a liaison with the building management.

  • Team Player: Participates in a high performing team by following clear expectations that are aligned with the corporate strategy, is accountable for actions, and embraces a collaborative culture.
  • Communication Skills: Communicates in a compelling, clear and understandable manner (both verbally and in writing) and uses strong persuasion abilities to represent the needs of Weathervane. Liaises between the Management team, external parties and employees in a professional and courteous manner.

Reporting to: Partner
Works closely with Weathervane and Wubs Investment management team.

Experience and Qualifications

  • Executive Support Experience: 5-year proven experience as an Executive Assistant, preferably some experience in supporting high-net worth individuals.
  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively. Demonstrates agility when dealing with a heavy workload and simultaneous projects to adjust to changing priorities and deadlines.
  • Technical Proficiency: Excellent technical skills, including above average knowledge of Microsoft Office Suite, including Adobe, PowerPoint, Excel, and Outlook.
  • Communication Skills: Excellent written and verbal communication skills, with a professional and approachable demeanor.
  • Problem-Solving Aptitude: Demonstrate a proactive approach to problem-solving, showing the ability to address challenges independently and provide effective solutions.
  • Flexibility: Ability to adapt to a dynamic work environment and manage multiple tasks with efficiency.
  • Professionalism: Embody a high level of professionalism in all interactions and represent the company with integrity.

  • 3-4 weeks’ vacation, depending on experience
